Tentatively scheduled BA Planning Meeting for all Committee Heads and Volunteers – Open to everyone!
Future meetings to be announced.

* Registration - Janet Mohn - help with entry registration table, name tags, selling t-shirts, directing people to exhibits, welcoming guests.
* Memorial - Melody Johnson Baker - volunteer to scan, research, set up displays, directing people at the exhibits to find the year or person they seek, collecting information from guests.
* Memorabilia - Debra Harris Johnson - will need muscle to carry unpack and repack her exhibit, security to guard area, directing people at the exhibits to find the year or person they seek, collecting information from guests about artifacts.
* Pep Band - Katie Marks Windsor - if you can play an instrument you need to contact Katie to get into the Pep Band. If you can't make it this year maybe you can start practicing for next year!
* Performance - Mindy Keeling - they are close to firming up this year's performance but if you have a talent you would like to perform, talk to Mindy about being included. Or maybe you would like to be an usher or ticket taker.
* SO MUCH MORE!!!

Need to know in-kind donations to get full accounting of last year expenses. Dave & Guy – web hosting donations, Melody, Mindy, Debra, Janet, LeeAnn all need to report your areas. Anyone else who donated services please report.

Dates for future BA – 2004 tentative April 5 can not be confirmed until we meet with new MHS Principal. All agree the BA needs a rest after 2004

If we do the April 5th date and link to Pullano’s evening gathering, the performance may need to move earlier to get a larger audience

Committee heads – all major stay the same – need to recruit more help for other committees.

Long Range Goals – Scholarships are top priority. Need to grow to manage more than we are right now.

Alumni Association - may be a means for growth. Can be structured to include alumni across the country. May embrace more than the BA alone could do. AA & BA should be one organization with branches working toward common goals.

Website – need more updates, no one wants fees to access, reestablish message board – Guy already has done! Discuss need for more space needed soon – maybe place Memorial on it’s own domain and link.

Student Involvement – encourage scholarship recipients to help as well as clubs.

Need to coordinate mass emails to avoid too many.

LeeAnn will keep a list of who send when. Break up Classmate & Reunion mailings by year. Anyone mailing should report to who and when. List can be posted on website. This will help prevent duplication of efforts and coverage of widest range of alumni.

Lauren wants to begin Classmate mailings. She will write a draft of email to be sent, and Melody will bring to August meeting for comments.

Committee needs: Melody Memorial needs 800sq feet of bulletin boards – ask district. Also need helpers the month before.

Katie wants us all to look at the link to her class site for info on a cruise they are coordinating for all MHS Alumni!

Set up checking account needs to done before Feb 22nd - LeeAnn will call Dwight to track done this nest week.

Contract signed with MHS for BA date FEBRUARY 22ND, 2003 3PM-9PM

Facility Requirements list: Tables, chairs, sound systems, halls & rooms open All needs are requested through Mindy. She will be at the school again Thursday 2PM. She has already requested all we had last year. Will get more tables at Registration 4 tables and 20 chairs. Also trying for music stands and chairs.

Clubs Booths - Mindy has passed info to Kelly in MHS office who is having clubs call Mindy. Ocean's Club should be there again. They raised $500 last year. Decca Store will be open and they may be source for us to get t-shirts. Mindy w/call Dennis Nowak to contact Steve at the Decca Store.

Performance move to 7PM doors open 6:30PM

Tickets $5 - includes $1 at door donation up to 632 seats

Feb 10th Mindy will firm final performance schedule. Rehearsal Fri Feb 21 7PM

Drama club will perform a scene from Damn Yankees

Facility Requirements - Sound, lights, scripts, performers

Dance Class may act as cheerleaders as the cheer have already turned in their uniforms for the year.

Christine mentions a Metro Coffee shop in mall owned by '90's MHS Drama writers - she will approach for involvement.

Grapes will perform from 3-6:30 at BA with breaks!

Needs and status

Last year had 300 names - so far 480 and will end up over 500 by BA

Class of 72 Reunion Committee donated their excess funds $150 to the Memorial to cover printing expenses.

Marilyn O'Mera lost her yearbook in last year shuffle - has her name in it! Everyone look for it!

Christine takes on project to build a military tribute to all we can find who have served or are serving from our alumni. She will work with Melody on deceased info as well. She will contact Tommy about support and display near the Army table.

Janet Mohn working on the Cookbook - NEED MORE RECIPES - BY JAN 1st! She's using the quick easy format this year to meet the BA deadline - will do the more customized format next year when we have more time. Can sell for about $10 each.

LeeAnn presented a Community Partner program from Albertson's where we get people to scan our card and they send our non-profit bucks for shopping with them! All agree good idea. LeeAnn will enroll us.

Sponsorship letters. Need by August meeting. Mindy will work with Sharon to get.

Mindy needs to send Bill Alcocer an email database.

Janet will investigate getting Viacom or ClearChannel to donate a billboard to the BA

T-Shirts remaining to be sold at $10

Tapes of the performance - will we sell how much? Mike volunteers to clean them up and title.

Social events needed - outside of meetings Denise will chair Mindy will help her.

Suggest they move around valley to attract more different people.

Mike comments the meeting area at BA did not work at helping people connect.

Need to take their pic as they come in and post somewhere with their name.

August 3rd

Sharon Keefer presented a repost of the BA Income & Expenses so far.

She needs to know people's "in kind" donations to add to the report and will email a copy of the report to LeeAnn to keep with the BA records.

Dave Kelly has a list of the checks he has received and processed.

Sharon will ask Iris for a detailed list of income and expense items.

One new rule added to Bylaws to prohibit exploitation of email or BA website or database.

Discuss need to determine Scholarship Award guidelines. Sean Kelleher is MHS Contact. Need Committee to work with Sean to build guidelines and review applicants. Awards before graduation.

Concern over inappropriate content on website. Not on BA site but in other links or chats. Guy will look into links.
 

Estimate about 1500 people attended - need a more accurate accounting method next year.
